Office Administrator

 

Duties/Expectations

  • Answering Phones/call forwarding/door phone
  • Welcome all guests at the door/sign them in and escort to proper manager or meeting place
  • Order all supplies: breakroom food and bev., office supplies on a bi-weekly basis
  • Shipping: receive and account for all shipments, handle Fedex account and create airbills, schedule pickups, make sure they are all out on time even if not your own, commercial invoices for international shipments
  • Coordinate with IT on any help desk or office issues
  • Coordinate with building management on any necessary repairs or office issues
  • New Hire Orientation – escort around the office on first day
  • Prepare cube/office for new hire: clean, order supplies, chair
  • Distribute and track all parking passes, make sure every new hire has a parking solution
  • Smart Benefits account admin, sign up any new employee for Smartip benefits
  • Place all business card orders for Bethesda office and remote employees. Keep hardcopy of revenue binder
  • Printing all invoices/ expense reports and send to accounts payable
  • File all AP back-up and check stubs in accounting office
  • In charge of Datawatch account/keys and distribute keys to new hires on first day
  • Reserve all conference room meetings in calendar & order food if necessary for meetings
  • Order Friday lunch every week
 Requirements

 

Education Experience

 

  • Minimum High School Diploma or equivalent.  Recent College Grad. Preferred.
  • Minimum 2 years related experience required
