Description
One of he nation's premier cleaning and restoration companies is seeking an energetic Administrative Assistant with a positive attitude  who will provide administrative support to the office manager and production/construction staff. Duties will include answering routine phone calls as well as taking accurate detailed information from customers and insurance adjusters during emergency situations. You will be required to complete First Notice of Loss forms and quickly provide the production crew with accurate information resulting from emergency fire, water, and other damage loss calls. Must be able to work in a fast paced environment. Good computer skills are a must with experience in the use of Microsoft Word, Outlook, and Excel. Will be required to assist in collection of accounts receivable. A pleasant phone demeanor and good interpersonal skills are required in order to best represent the company.  Additional duties include preparing job folders with appropriate forms, data entry (uploading job files, estimates, etc. to the corporate office), preparing memorandums, letters, invoices, sending faxes, filing, and maintaining the job schedule board.  Must be able to take direction from the Office Manager and upper management.

Requirements

  2. Ability to focus on details.
  3. Knowledge of MS Word, Excel, and Outlook. A knowledge of Xactimate estimating software is a plus.
  4. Ability to take direction from others and be highly organized.
  5. Excellent communication skills and pleasant phone demeanor.
  6. Ability to work in a fast paced environment.
